Community Liaison and Administration Support

We currently have an exciting opportunity for a Community Liaison and Administration Support to join our team!

The purpose of this role is to support and enhance the activities of the Mahitahi Colab (Innovate Charitable Trust) and the Nelson Tasman Chamber of Commerce (NTCC) by providing administrative and operational support.

This is a full-time, fixed term role from March – December 2021.

Key Responsibilities

Reception and administration: Manage the Mahitahi Colab reception and general administration, including:

Welcoming Collaborators, NTCC members and other visitors to the Colab;
Receiving and responding to meeting room, events and other Mahitahi Colab and NTCC enquiries;
Onboarding new Mahitahi Colab coworking clients;
Onboarding new NTCC members;
Managing kitchen and office supplies for the Mahitahi Colab and NTCC;
Processing of electronic export certificates for NTCC clients;
Admin support for Businesses for Climate Action on behalf of the Chamber;
Other general administrative tasks which support the smooth operation of the Mahitahi Colab and NTCC.

Events: Manage Mahitahi Colab events operations and supporting NTCC events activities, including:

Receiving and confirming bookings;
Liaising with clients, caterers and other third parties for effective event coordination;
Preparing the Mahitahi Colab space for events and meetings;
Attending and assisting with Mahitahi Colab and NTCC events as required.

Mahitahi Colab Communications: Assist with internal and external communications, including:

Regular communications with Co.Starters cohort members and Mahitahi Colab collaborators;
Creating and posting social media content in consultation with the Mahitahi Colab manager and NRDA Communications Manager;

Organisational Culture: Contribute to the organisational culture of the Mahitahi Colab and NTCC, by:

Acting positively and collaboratively at all times;
Building strong relationships with team members, clients and other stakeholders;
Working with external contacts in a proactive, positive and collaborative manner.

Skills and experience

The ideal candidate will have:

Experience and/or qualifications in business support, administration, communications or similar;
Excellent organisational and administrative skills;
A friendly, welcoming persona and the ability to engage with a wide range of stakeholders;
Strong written communication skills;
A solid working knowledge of the Microsoft suite.
A can do attitude;
A desire to learn and grow in the role.
